I think your line here is fine. Possibly suboptimal, assuming you want the job (even if only a little bit), but still reasonable. Things I would have done differently.

After the first request to talk, Iād have just sent them an email or something saying that I got the message, but Iām not available at that time and we should schedule some other time. Iād also list some options for the following week for them to choose from.

When you are told that she is off next Friday. Iād say something like, āGreat how about 2pm (or whatever)?ā What you said is open to some misinterpretation, which is exactly what happened.
A good assistant wouldnāt have got tripped up by #2, so thatās kind of on them. But I tend to assume everyone Iām dealing with is incompetent until proven otherwise.
I realize now that the assistant could possibly claim a misunderstanding. Unfortunately, during my brief call with him earlier in the week, when I asked to schedule a meeting he stated he couldnāt because she kept her own schedule. Consequently, his only role appeared to be to pass messages back and forth between the Director and myself.
At this point, Iām happy enough to just keep walking. My only issue at this point is whether I should respond to the email with actual feedback about why Iām done, respond with some bland āThanks, but no thanksā¦,ā or simply ghost.
